Getting Started
How do I connect my Shopify store?
Go to the Onboarding page or Settings > Store Connection. Enter your Shopify store name (e.g., "my-store" from my-store.myshopify.com) and click Connect. You'll be redirected to Shopify to authorize access. TaxFlow+ requires read permissions for orders, products, and financial data.
What Shopify permissions does TaxFlow+ need?
TaxFlow+ requires read-only access to: Orders (to calculate revenue and taxes), Products (for inventory tracking), Fulfillments (shipping data), and Financial Transactions (payment processing). We never modify your store data.
Can I connect multiple Shopify stores?
Yes! You can connect multiple stores to a single TaxFlow+ account. Each store's data is tracked separately, and you can switch between stores from the dashboard. Go to Settings > Store Connection to add additional stores.
How long does it take to sync my data?
Initial sync typically takes 2-5 minutes depending on your order volume. After that, data syncs automatically every 15 minutes. You can also manually refresh by clicking the Refresh button on the dashboard.
Revenue & Profit
How is profit calculated?
Profit = Gross Revenue - COGS (Cost of Goods Sold) - Shipping Costs - Payment Processing Fees - Refunds - Taxes Collected. You can customize the COGS percentage, shipping costs, and payment fees in Settings > Cost Estimation.
What does "Effective Tax Rate" mean?
The Effective Tax Rate is the actual percentage of tax collected relative to your revenue. It's calculated as (Total Tax Collected / Total Revenue) x 100. This may differ from standard VAT rates if you sell to multiple countries or have tax-exempt sales.
Why is my profit different from Shopify reports?
TaxFlow+ includes estimated costs (COGS, shipping, payment fees) that Shopify doesn't track. Adjust these percentages in Settings to match your actual costs for more accurate profit calculations.
How are refunds handled?
Refunds are automatically deducted from your revenue and profit calculations. They appear in the Overview tab as a separate metric and are factored into all financial reports.
EU VAT & Tax Compliance
What is the EU OSS threshold?
The One-Stop Shop (OSS) threshold is EUR 10,000 per year for cross-border B2C sales within the EU. Once you exceed this threshold, you must register for OSS in your home country and charge VAT at the rate of the customer's country. TaxFlow+ automatically tracks your progress toward this threshold.
What is the difference between OSS and iOSS?
OSS (One-Stop Shop) is for goods sold within the EU. iOSS (Import One-Stop Shop) is for goods imported into the EU from third countries with a value under EUR 150. If you ship from outside the EU, you may need to register for iOSS.
How do I generate an OSS return?
Go to Reports > OSS Returns tab. Select the quarter, enter your VAT identification number and member state, then click Generate. You can download the return in CSV, XML (for tax authority submission), or JSON format.
How do I validate a customer's VAT number for B2B sales?
Go to Settings > B2B VAT Compliance. Enter the customer's country and VAT number, then click Validate. We check against the official EU VIES database. Valid VAT numbers qualify for zero-rated (reverse charge) B2B sales.
What VAT rates does TaxFlow+ support?
TaxFlow+ includes current VAT rates for all 27 EU member states plus the UK, Norway, and Switzerland. Rates include standard, reduced, super-reduced, and parking rates where applicable. Rates are updated when EU countries announce changes.
When are VAT filing deadlines?
OSS returns are due quarterly: Q1 by April 30, Q2 by July 31, Q3 by October 31, Q4 by January 31. Individual country VAT deadlines vary. Check the Alerts > VAT Deadlines tab for a complete calendar of upcoming deadlines.
Reports & Exports
What report formats are available?
TaxFlow+ supports PDF (for sharing/printing), CSV (for spreadsheets), Excel (.xlsx), and JSON (for developers). OSS returns can also be exported in XML format compatible with EU tax authority systems.
Can I schedule automatic reports?
Yes! Go to Reports and enable scheduled reports. You can receive weekly or monthly summaries via email with attached PDF/CSV reports.
How far back can I access historical data?
TaxFlow+ syncs your complete Shopify order history. You can access and generate reports for any time period since you started using Shopify, subject to Shopify's data retention policies.
Security & Data
How does blockchain verification work?
TaxFlow+ generates a SHA-256 cryptographic hash of your financial snapshot (revenue, taxes, refunds, profit). This hash is timestamped and stored. Any change to the underlying data would produce a different hash, making tampering immediately detectable. Full blockchain anchoring is coming soon.
Is my data secure?
Yes. TaxFlow+ uses bank-level encryption (TLS 1.3) for all data in transit. Your Shopify access tokens are encrypted at rest. We never store credit card information. Our infrastructure is hosted on Vercel with SOC 2 Type II compliance.
Can I delete my data?
Yes. Go to Settings > Danger Zone to delete your account and all associated data. This action is irreversible and removes all stores, metrics, reports, and verification records.
Do you sell my data?
Never. Your financial data is yours. We do not sell, share, or monetize your data in any way. We only use anonymized, aggregated statistics to improve our product.
Troubleshooting
My data isn't updating. What should I do?
First, try clicking the Refresh button on the dashboard. If data still doesn't update, go to Settings > Store Connection and check that your store is connected (green status). You may need to reconnect if the OAuth token expired.
I see "Invalid Configuration" for my Shopify app.
This usually means the redirect URI in your Shopify app settings doesn't match TaxFlow+. Ensure your Shopify app's "Allowed redirection URL" is set to: https://your-domain.com/auth/shopify/callback
Why are some countries showing 0% tax?
Some orders may be B2B (reverse charge), tax-exempt, or from countries where you haven't configured tax collection in Shopify. Check your Shopify tax settings and ensure taxes are properly configured for each market.
The dashboard shows different numbers than Shopify.
TaxFlow+ includes pending orders by default, while Shopify reports may exclude them. Also, check that the date range matches. If discrepancies persist, contact support with specific order IDs for investigation.
